Buying a Vehicle
Once you've found a vehicle you're interested in, here are the steps you should take to bid confidently and, with any luck, win the auction!
1. Register to Bid
To contact the seller directly and place bids, you must first Register with a valid credit card and phone number. Winning bidders pay Bidding Motors a buyer's fee on top of the winning bid amount:
- Registered Members: 2.5% buyer commission.
- Non-Members: 3.5% buyer commission.
- Minimum buyer fee: $500
- Maximum buyer fee: $5,000
2. Perform Due Diligence
While we've tried to make buying a vehicle online as safe and easy as possible, it's ultimately your responsibility to perform your own due diligence — prior to placing a bid.
- Review the listing thoroughly, including known flaws, the vehicle history report, inspection report (if applicable), recent maintenance, photos, and condition notes.
- Ask the seller — via comments or the "Contact" feature — any questions you have about the vehicle.
- Arrange to inspect the vehicle in person, or schedule a detailed pre-purchase inspection ("PPI") at a reputable shop in the seller's area.
3. Arrange Financing and Logistics
To ensure a smooth transaction, organize the following before placing a bid:
- If you plan to finance this purchase, get pre-approved by your lender ahead of time. Some lenders may require specific vehicle information and may have year or mileage restrictions.
- Discuss transportation and storage timelines with the seller. If shipping, get a quote directly on the auction page before bidding.
- Confirm your available funds or credit limit can cover the vehicle price plus the applicable buyer's fee.
4. Bid
We've made bidding easy!
- When you place a bid and become the highest bidder, a temporary authorization hold is placed on your card for the buyer's fee (funds are reserved, not deducted). If you are outbid, the hold is automatically released. If you win, the fee is charged.
- Bids are binding — only bid if you fully intend to purchase the vehicle and have completed your due diligence.
- To keep the auction fair, any bid placed within the final 2 minutes will reset the timer back to 2 minutes, giving other bidders an opportunity to respond (anti-sniping).
5. Win the Auction
To buy a vehicle on Bidding Motors, you must be the highest bidder when the clock hits zero. If the auction has a Reserve, your bid must meet or exceed the seller's hidden reserve price. If the auction is No Reserve, the highest bidder wins regardless of the amount.
After the auction closes, the temporary hold on the winning buyer's card is captured for the buyer fee through Stripe. The buyer must then send the remaining vehicle purchase balance by bank wire to the Bidding Vault business bank account within 24 hours. You'll also receive the seller's contact information to finalize logistics.
Selling a Vehicle
Bidding Motors is the best place to sell your vehicle — and we've made the process easy.
1. Submit Your Vehicle
It's free to submit your vehicle. We ask for a few details — including the VIN, photos, a brief description, and whether you'd like to set a reserve price or sell with No Reserve.
- A reserve price is the minimum you'll accept — but vehicles listed with No Reserve typically attract more bids and higher final sale prices.
- All auctions start from $0, regardless of whether they have a reserve.
- Free / Private Seller Tier ($0): Up to 5 free active listings with a 1.5% seller commission (0% for members).
- Professional Dealer Tier ($199/mo): Up to 25 active listings simultaneously with 0% seller commission and verified Pro Dealer badge.
- Commercial & Fleet Dealer Tier ($499/mo): Unlimited active listings with 0% seller commission, featured homepage placement, and bulk inventory tools.
2. Prepare Your Listing
Once your submission is accepted, we'll need some additional details to build your listing:
- Your vehicle must not be listed for sale anywhere else during the auction period.
- Take excellent, high-quality photos — interior, exterior, engine bay, odometer, and known flaws. The better the photos, the higher the final sale price.
- Film a short video walkaround and cold-start on your phone (landscape mode) and upload it to your submission.
- Review the title transfer process in your state. If there's a loan on the vehicle, contact your lender about payoff procedures and timeline.
3. Finalize Your Auction
Once we have all required information and media, our team will create a draft listing for your review. After you approve it, we'll schedule your 7-day auction and it will go live shortly thereafter.
4. Participate in the Auction
- Respond to comments, questions, and direct buyer inquiries promptly — good seller engagement leads to more bids and a higher final sale price.
- Buyers may contact you directly via the "Contact Seller" feature to arrange test drives or pre-purchase inspections (at the buyer's cost).
- Watch the final minutes — many auctions end with competitive bidding wars!
5. Auction End
After the auction closes, the winning buyer is identified and the applicable buyer fee is processed through Stripe. The buyer must then send the remaining vehicle purchase balance by bank wire to the Bidding Vault business bank account within 24 hours.
Once the balance is received, the funds are held for 72 hours before seller payout, subject to any valid buyer dispute and the required seller verification.
If the reserve was not met, we'll reach out to both you and the highest bidder to see if a deal can be arranged.
Transaction Settlement: The 5-Phase Workflow
From the moment the auction closes to the final vehicle handover, our structured 5-phase process guarantees payment security, title verification, and transparent delivery coordination.
1. Phase 1: The Hammer Drops & Instant Fee Capture
When the auction timer hits zero, Biddingmotors.com’s system calculates the final bid price and applies platform commission rules (2.5% for members, 3.5% for non-members).
- Instant Fee Capture: Stripe automatically charges the winning bidder’s payment card on file for the applicable buyer fee.
- Wire Instructions Generated: The buyer's dashboard immediately updates with corporate wire transfer instructions and a unique reference code (e.g.,
BM-LOT-8842).
2. Phase 2: Wire Payment & Logistics Coordination
The winning buyer sends the remaining balance via wire transfer directly to the Bidding Motors corporate bank account.
- Buyer Submits Wire: After initiating the transfer, the buyer clicks "I Have Sent the Wire" in their dashboard and uploads their wire confirmation receipt.
- Admin Verification: Our finance team verifies incoming funds against the corporate bank feed and unique reference code, marking it "Wire Confirmed & Received".
- Contact Details Unlocked: Once funds are confirmed, direct contact information is automatically unlocked between buyer and seller to coordinate pickup, transport, or commercial delivery.
3. Phase 3: Handover & Digital Sign-Off (The Escrow Buffer)
The buyer inspects and takes physical possession of the vehicle along with the physical title and signed Bill of Sale.
- Buyer Action: The buyer logs in, visits the active transaction page, and clicks either [Confirm Satisfactory Handover & Title Received] or [Report an Issue / Dispute].
- Seller Action: The seller confirms completion by clicking [Confirm Vehicle Handover Complete].
4. Phase 4: Automated Payout Trigger
Platform funds disbursement is secured by automated verification triggers:
- Scenario A (Instant Mutual Sign-off): As soon as both buyer and seller click "Confirm Handover", the transaction is immediately logged as fulfilled.
- Scenario B (The 72-Hour Grace Period): If the buyer takes delivery but forgets to click confirmation, a 72-hour timer starts automatically once the seller marks delivered and uploads proof of delivery (e.g., signed bill of lading). If no dispute is filed within 72 hours, the system auto-approves the handover.
5. Phase 5: Final Settlement to the Dealer/Seller
Once handover is approved, the platform calculates net proceeds according to the seller's membership tier:
- Members: 0% commission — 100% of the vehicle balance is queued for payout.
- Non-Members: 1.5% commission is retained by the platform, and 98.5% of the vehicle balance is queued for payout.
- Payout Transfer: The admin triggers payout transfer via Stripe Connect or direct corporate bank wire to the seller's verified account.
Dispute & Exception Handling
Clear, automated dispute workflows protect both parties from legal exposure and ensure transactions are handled fairly.
Scenario A: Serious Issue Reported (Mechanical Damage / Title Defect)
If the buyer inspects the vehicle within the 48–72 hour window and clicks [Report an Issue / Dispute]:
- Automatic Fund Freeze: The 72-hour auto-approval timer is paused immediately. Vehicle balance funds remain safely locked in the corporate account, and dealer payout is blocked.
- Mandatory Evidence Upload: The buyer must submit formal proof within 24 hours (mechanic inspection reports, photos of undisclosed damage, or DMV title statements).
- 3-Day Resolution Window: Buyer and seller must attempt direct resolution (negotiating repair credits or return terms).
- Marketplace Non-Interference: Biddingmotors.com is a marketplace facilitator, not an arbitrator of vehicle condition. If unresolved within 7–14 days, parties resolve via legal arbitration while funds remain safely held.
Scenario B: Ghost Buyer (Fails to Wire Balance)
If a winning bidder pays the upfront buyer fee (2.5% or 3.5%) but fails to wire the remaining vehicle balance within 3 business days:
- Default Trigger: Transaction is flagged as Defaulted after 3 business days.
- Penalty Enforcement: The buyer's upfront buyer fee is permanently forfeited as a relisting and default penalty.
- Seller Options: The seller can relist the vehicle immediately for free, or offer the vehicle to the second-highest backup bidder at their final bid price.
Scenario C: Ghost Seller (Fails to Deliver or Release Title)
If the buyer wires the full balance, but the seller becomes unresponsive or fails to hand over the vehicle/clear title:
- Support Intervention: Our team contacts the seller. If shipment or pickup cannot be proven within 48 hours of notice, 100% of the vehicle balance is refunded back to the buyer.
- Seller Penalties: The seller's account is permanently banned, listings removed, and subscription privileges forfeited.
Platform Protection & Legal Safeguards
Because the primary balance is held in our corporate business account and fees are captured up front via Stripe, neither party can evade platform rules. During an open dispute, funds remain frozen per platform safety protocols until mutual resolution or legal documentation is provided.
Frequently Asked Questions
Q: Why do I need to enter a credit card to place a bid?
A: To maintain a secure and fair auction environment, all bidders are required to have a valid credit card on file. This ensures every bid is authentic and backed by a verified buyer.
Q: Will my credit card be charged as soon as I place a bid?
A: No. Placing a bid places a temporary authorization hold for the buyer's fee (2.5% for Members, 3.5% for Non-Members). Your card is not charged — the funds are simply reserved by your bank during the live auction.
Q: What happens if I am outbid?
A: If another user places a higher bid, the authorization hold on your card is automatically released back to your account.
Q: What happens if I win the auction?
A: If you are the winning bidder when the clock hits zero, your card's authorization hold is captured for the buyer fee through Stripe. You will then send the remaining vehicle purchase balance by bank wire to the Bidding Motors corporate bank account within 24–72 hours, where funds are held safely until handover is confirmed.
Q: Does the buyer fee count toward the vehicle purchase price?
A: No. The buyer commission is the platform service fee for securing the auction listing and transaction management services. The vehicle purchase balance is transferred separately via corporate bank wire.
Q: What are the Dealer and Seller Membership tiers?
A: Free / Private Sellers get up to 5 active listings with 1.5% seller commission (0% for members) and 3.5% buyer fee. Professional Dealers ($199/mo) get up to 25 active listings, 0% seller commission, 2.5% buyer fee, and verified dealer badges. Commercial Fleet Dealers ($499/mo) get unlimited listings, homepage features, and bulk inventory tools.
